In production · Mining, agriculture, logistics

The whole operation, on one ledger.

Alpha ERP runs a quarry in DR Congo from quote to weighbridge to invoice, and a farm's livestock on the same core. One system covers sales, procurement, logistics, stock, fleet, payroll and OHADA accounting, with locked-down tablets in the field and an approvals app on the phone.

01 Editions

One core, three editions.

Sales, procurement, stock, fleet, payroll and accounting are one shared core. Each edition adds the work of its industry on top, and every company gets its own copy — its own database, its own deployment.

E—01 In production

Mining & quarrying

Running a quarry in DR Congo

Built around the working day of a quarry, from the shift to the stockpile. Stockpiles are kept in tonnes, a quote reserves the tonnes it sells, and cost per tonne comes out by stage and product.

  • Shift sheets on tablets
  • Daily production record
  • Mining work for clients, billed monthly
  • DRC mining royalty, posted monthly

E—02 In production

Agriculture

Livestock in daily use; crops and distribution built

Each animal is registered by its ISO 11784 RFID tag and visual tag, with breed, sex, class, dam, sire and herd. Scale files from Gallagher, Tru-Test/Datamars and stick readers are checked against the scale's own count and average, and flag impossible weights, weight loss, and animals already sold or dead.

  • Stock take, medical and register scans
  • Doses from body weight, with a meat-withholding date
  • Nightly alerts on thresholds you set
  • Crop seasons, field log and harvest lots
  • Distribution rounds with a fraud board

E—03 In production

Logistics

Inside the quarry deployment

Transport is priced from cost — tolls by truck type, fuel both ways, repairs, site levies, wear per km and the crew's share — into a floor price per tonne on the quote.

  • Dispatch board to proof of delivery
  • Weighbridge weights, loaded and offloaded
  • Outside hauliers, per-trip rates and invoices
  • Actual cost per trip

02 Modules

Eight modules, one record.

The modules share one database and hand work to each other: a quote reserves stockpile tonnes, delivered loads are invoiced, and payroll posts to the ledger.

M—01

Sales

Quote to invoice, by rule

Quotes move through a pipeline and approve themselves unless a rule fires on discount, payment terms, stock or legal. Clients sign with a one-time code sent by email.

  • Proformas and invoices
  • Contracts with call-off orders
  • Delivery notes and credit notes
  • Scan-to-verify QR code on documents

M—02

Procurement

Seven steps, four people

Seven steps from request to payment, with separation of duties enforced in the database and a three-way match before a supplier invoice is paid.

  • Legal approval for new suppliers
  • Landed cost on receipt
  • Reorder suggestions
  • Supplier ageing report
See the seven steps →

M—03

Logistics & dispatch

From the yard to the client

The dispatch board takes each trip from truck and driver to departed, delivered and closed, with proof of delivery. The wrong truck type or an overload needs an approval, and the dispatch role sees no prices.

  • Loaded and offloaded weights
  • Variance back to the stockpile
  • Client-truck pickups and cash on delivery
  • Loads invoiced up to a cut-off date

M—04

Stock & stockpiles

Stores, shelves, tanks and tonnes

Several stores, each with shelves and QR labels, and transfers between them. Stock is valued at weighted-average cost.

  • Diesel tanks
  • Stockpiles in tonnes, reserved by quotes
  • Stock counts that work with no signal

M—05

Fleet & maintenance

Every machine, its hours and its parts

An asset register, with GPS positions synced every 5 minutes.

  • Job cards
  • Services due from meter readings
  • Tyres
  • Parts catalogue

M—06

Production

The shift, as a record

Shift sheets are filled in on tablets, or photographed on paper and confirmed by a person. The daily production record keeps machine hours, diesel, rock moved and crusher output.

  • Machine meters read from a photo
  • Cost per tonne by stage and product
  • Production posted to the ledger

M—07

HR & payroll

DRC payroll, posted

Staff records and DRC payroll together, with payroll posted to the ledger.

  • Leave and reviews
  • Training and discipline
  • CNSS, IPR, INPP and ONEM

M—08

Approvals & KPIs

One inbox for approvals

One approvals inbox across quotes, purchase requests and orders, new clients and suppliers, payments, receipts, leave, stock counts and logistics overrides.

  • The same inbox on the phone app
  • Alerts by push notification
  • KPIs
  • A report builder

03 Procurement

Four people on every dollar.

A purchase passes through seven steps and four different people, from the request on site to the payment. No one person can carry it through alone.

FIG.02 Seven steps, request to payment
REQUEST SOURCE RECEIVE PAY Request Approve Machine or job Compare quotes Purchase order Lowest flagged Goods received Three-way match ±2 % or held Pay request Pay approval Payment
  1. 01

    Request

Raised per site and charged to a machine or job. It can draw spare stock from another store first.

  2. 02

    Approve

By someone other than the person who asked.

  3. 03

    Compare quotes

Side by side in USD, with the lowest price per item and the lowest total flagged. Choosing another needs a written reason, and the order keeps the comparison.

  4. 04

    Purchase order

Approved by a director or the owner, with Incoterms and deposits. A changed order is approved again, and an order can be closed short.

  5. 05

    Receive

Against the delivery note, with a photo, and at most 2 % over the order.

  6. 06

    Three-way match

The supplier's invoice is compared with the order and the receipt before it is paid.

  7. 07

    Pay

Payment request, payment approval, payment, with supplier withholding.

Separation of duties
Requester, buyer, approver and payer must be four different people, and whoever approved an order cannot pay it. The rule is enforced in the database.
Three-way match
Invoice, order and receipt must agree within ±2 %, or the invoice is held. Only a finance approver can override the hold, with a reason, and never for goods that did not arrive.
Landed cost
Transport and charges are added to the cost of the goods received, so the stock value includes what it cost to bring them in.

04 Accounting

A SYSCOHADA ledger, fed by the work itself.

Invoices, receipts, payroll, fuel and production post their own entries. Posted entries are never edited, only reversed.

GL-01

Chart of accounts

SYSCOHADA révisé. Every account carries its OHADA code and class.

GL-02

Currencies & rates

USD base, with CDF, EUR, ZAR and ZMW. The Banque Centrale du Congo average rate is fetched hourly from 01:00 Kinshasa time until the day's rate is in, and each document is valued at its own date's rate.

GL-03

Exchange differences

Realised gains and losses post to 676 and 776. Revaluation runs automatically at month-end and reverses the previous one first.

GL-04

Journals

Sales, purchases, bank and miscellaneous, each numbered without gaps per year.

GL-05

Month and year close

Only the owner closes or reopens a month. Close is refused while drafts remain or an entry does not balance; year-end carries balances forward and locks the year.

GL-06

Tax

VAT at 16 % or 0 %, supplier withholding, and the DRC mining royalty.

GL-07

Twelve reports

Trial balance, profit and loss, balance sheet, cash flow, general ledger, receivables ageing, VAT return, withholding tax, inventory valuation, cost per tonne, budget vs actual, and FX gains and losses.

GL-08

Bank reconciliation

Statements are imported as CSV and matched automatically on reference and amount, with suggestions, rules and a reconciliation report. There are no live bank feeds.

GL-09

Sites

Several sites in one deployment: the site is on every journal line and every budget. One legal entity per deployment.

GL-10

Countries

Built to OHADA rules for Central Africa; our own UAE books run on a ledger built to UAE VAT. A new country is scoped as its chart, its taxes and its payroll.

05 In the field

Out where the work is.

A crusher, a dispatch yard and a delivery site are not places for a laptop. Alpha ERP goes to them on locked-down tablets, puts approvals on the phone, and reads paperwork from a photo for a person to confirm.

F—01

Kiosk tablets

A tablet that only runs the ERP

Problem
A shared device on site collects other apps, changed settings and sessions nobody closed.
How it behaves
Rugged Android tablets are locked to the ERP, ask for a PIN after 15 idle minutes, and update themselves. Lock, wipe and lost mode work remotely.
What you see
Dispatch, proof of delivery and shift sheets captured where they happen. The same app serves the quarry and the farm.
  • Kiosk mode
  • Remote wipe
  • Self-update

F—02

iPhone & Android

Approvals that travel with the approver

Problem
Purchases and payments wait on a director who is rarely at a desk.
How it behaves
A native iPhone and Android app, Alpha ERP, carries the KPIs, the approvals inbox and alerts with push notifications, behind Face ID sign-in.
What you see
The same approvals inbox as the web, wherever the approver is. The app is distributed privately: Android from the ERP itself, iPhone as an unlisted build.
  • Approvals inbox
  • Push alerts
  • Private distribution

F—03

AI

AI that reads, a person who confirms

Problem
Paper shift sheets and meter readings are typed in again at the end of the day, and the mistakes travel with them.
How it behaves
Photograph a machine meter or a paper shift sheet and the figures are read from the photo. A person confirms them before they are saved.
What you see
A help assistant answers only from the guides the user is allowed to open, and opens a support ticket when it cannot answer.
  • Photo reading
  • Person confirms
  • Help assistant

06 Access & control

Who can do what, and who did.

Rights are set per module, per role and per site. Under them, row-level security covers every table, and separation of duties is enforced in the database.

AC-01

Row-level security

On every table, and a test enforces it.

AC-02

Rights per role

View, create, edit and delete, set per module for each role. Roles inherit, and the owner can override them for one person.

AC-03

Site access

A user's access can be limited by site.

AC-04

Two-factor sign-in

Enforced on the server.

AC-05

Platforms

The owner chooses which platforms each account may use: web, tablet, iPhone, Android.

AC-06

Separation of duties

Requester, buyer, approver and payer must be different people, and whoever approved an order cannot pay it. Enforced in the database.

AC-07

Audit trail

Changes are recorded on 166 of the 215 tables.

AC-08

Legal checks

New clients and new suppliers both pass a legal check, and a new supplier needs Legal's approval against its Id. Nat., NIF, RCCM and VAT number.

Ask how separation of duties is enforced and you will be shown the rule in the database, not a diagram of one.

07 Rollout

Four steps to cut-over.

Each company gets its own deployment, configured to the way it already works. Nothing has to be switched off on the first day.

  1. 01

    Scope

Sites, editions, modules, users and roles, and the chart, taxes and payroll your country needs. What runs the business today is mapped first.

You receive A scope and a quote for your deployment.

  2. 02

    Configure

Your own database and deployment are set up, with sites, stores, roles and rights set to how the business already runs.

You receive Your own deployment, configured to your sites and roles.

  3. 03

    Field

The ERP is locked onto rugged Android tablets for the crews; the phone app goes to the people who approve.

You receive The ERP on locked-down field tablets, and approvals on the phone.

  4. 04

    Cut over

Old systems are retired module by module, on dates you set. Until its date, a module runs alongside the system it replaces.

You receive One ledger, a module at a time.

08 Questions

Answered before you ask.

Which industries is Alpha ERP built for?

Mining and quarrying, agriculture, and logistics, on one shared core. A quarry in DR Congo runs the mining and logistics editions. A farm runs the agriculture edition: livestock is in daily use, and crops and distribution rounds are built.

Does it work outside DR Congo?

It is built to OHADA rules for Central Africa; our own UAE books run on a ledger built to UAE VAT. A new country is scoped as its chart, its taxes and its payroll. The interface is in English.

Can it run alongside our current system?

Yes. Old systems are retired module by module, on cut-over dates you set, and until then the two run side by side. That is how the quarry runs today: some of its records stay in the previous system until their module's date.

Does it work offline?

Stock counts do: they keep working with no signal. Nothing else is captured offline.

Is there a phone app?

Yes. The Alpha ERP app is native on iPhone and Android, with KPIs, the approvals inbox, alerts by push notification, and Face ID sign-in. It is distributed privately: the Android app from the ERP itself, the iPhone app as an unlisted build.

What does Alpha ERP cost?

There is no price list. Each deployment is quoted on its scope: the editions and modules, the sites and users, and the chart, taxes and payroll your country needs. Tell us what runs the business today and you get a quote rather than a call to arrange one.

09 Request a demo

See it on your operation.

Tell us the industry, the sites, the number of users and what runs the business today. You will get a reply within one business day, and a walkthrough of the modules your operation needs.

An email or a phone number: one is enough.

Industry, sites, users, and what runs the business today.
